BILLING AND FINANCE SPECIALIST - Danville or Lynchburg 

About the Position

PLDR Law seeks a detail-oriented and experienced Billing and Finance Specialist to join our administrative team. This role is ideal for someone who thrives in a deadline-driven environment and is comfortable handling sensitive information with professionalism and accuracy.

The Billing and Finance Specialist will be involved in many of the Firm’s foundational operations, including client billing, bookkeeping, and financial reporting.

Key Responsibilities

  • Prepare, review, and process monthly attorney billing in accordance with client guidelines and firm policies
  • Ensure accurate time entry, expense posting, and matter management
  • Generate pre-bills and coordinate with attorneys to finalize invoices
  • Submit invoices through various e-billing platforms (e.g., LEDES, Legal Tracker, CounselLink)
  • Monitor accounts receivable, follow up on outstanding payments, and assist with collections
  • Research and resolve billing discrepancies in collaboration with attorneys and clients
  • Maintain organized billing records and update financial systems as needed
  • Assist with budgeting, financial reporting, and audit requests
  • Process accounts payable
  • Provide general support to the business office as required

 Qualifications

  • 2–4 years of billing experience, preferably in a law firm or professional services environment
  • Familiarity with legal billing software (e.g., Tabs3, Clio, Aderant, Elite, MyCase) a plus
  • Working knowledge of e-billing platforms and LEDES formats
  • Strong proficiency in Microsoft Excel and general financial software
  • Excellent attention to detail and accuracy
  • Strong communication skills and ability to work with multiple stakeholders
  • Ability to manage deadlines and handle confidential information responsibly
  • Knowledge of office management systems and procedures
  • Ability to maintain accurate time records
  • Excellent time management skills and the ability to prioritize work

PARALEGAL - Transactional Law - Danville  

PLDR Law seeks an experienced legal support staff member with exposure to various practice areas to assist and enhance a growing, fast-paced, and innovative law firm. Pay is commensurate with experience.

The ideal candidate would have a background in transactional law: corporate law, commercial real estate, estate planning, and other transactional law practice areas. Our legal support staff play a vital role in achieving our Firm's goals and and in the case management of each of our practice areas. We heavily rely on teamwork, and this role works closely with attorneys, clients, and other professional staff members.

Responsibilities

  • Draft, edit, and format various pleadings, corporate and estate planning documents, and correspondence
  • Summarize and organize documents and records
  • Assist with corporate and commercial transactions
  • Coordinate mailings, deliveries, and court (paper and electronic) filings where appropriate
  • Work consistently and effectively in a team environment
  • Provide general support to clients and visitors in person, over the phone, and online
  • Open new client matters and perform conflict of interest checks
  • Organize and maintain client files, and prepare client files for closing

Skills

  • Proven experience as a paralegal or legal assistant
  • Knowledge of office management systems and procedures

EXECUTIVE LEGAL ASSISTANT - Danville

As a central administrative and legal support member of the PLDR team, the Executive Legal Assistant (“ELA”) will be a key coordinator between the President & CEO, the Chief Operating Officer, and all practice groups. The ELA will be involved in many of the Firm’s strategic programs, special projects, and executive-level administrative functions.

Responsibilities

Strategic Operations & Administration

  • In coordination with the President and COO, activates operational strategies to manage and support the growth and success of the Firm
  • Generates, inputs, and monitors key datapoints for analysis by Firm leadership
  • Contributes to the upkeep and maintenance of all operating and administrative procedures and policies of the Firm
  • Coordinates executive-level meetings involving the Shareholders, Directors, and strategic Firm committees, including agenda preparation, minutes, and follow-up
  • Manages daily administrative needs for Danville office including supplies, inventory, cleaning coordination, and general office upkeep
  • Daily processing of incoming and outgoing Firm correspondence in Danville office including USPS, FedEx, UPS, and other carriers

Technology

  • Pilots new and emerging technologies with COO to determine their potential value to the Firm
  • Assists in implementation of new Firm technology through instructional material and standard operating procedures for most productive use

Financial Management

  • Monitors and reports throughout the year status of Firm’s annual operating budget in coordination with COO
  • Assists with controls for the Firm’s corporate credit cards

Talent Management & Human Resources

  • Coordinates scheduling of all Firm recruitment and hiring with President & COO, including summer associate recruiting
  • Maintains key local and regional relationships to strengthen the pool of talent available to the Firm
  • Upkeeps payroll and HR software and processes; provides key data
  • Tracks key datapoints for all staff and attorneys around defined Key Performance Indicators (KPIs)
  • Assists the COO to assess and renew the employee health and benefits plans
  • Ensures the employee handbook is developed, maintained, and followed

Legal & Client Support

  • Assists President & CEO with client-facing work through document preparation, writing, editing, and research
  • Maintains and nurtures key local relationships for President & Firm

  • At least 5 years of experience working in civil litigation, with the ability to manage a diverse caseload and provide direction to support attorneys and staff 
  • High emotional intelligence 
  • Business and tech-savvy, or a quick learner 
  • Experience with, and comfort with, one-on-one consultation meetings with clients on your own
